Please fully read this document before submitting your panel registration. Submit one form per panel you wish to run during Nishikaze.
Successful panelists are required to attend one orientation session prior to Nishikaze, so that they can be familiarized with the AV equipment as well as where to go and what to do at Nishikaze. Panelists who are not in Lethbridge can make alternate arrangements.

Panel Submission Guidelines
You, co-panelist(s), and assistant(s) must be at least 16 years old to host a panel. No one under 16 may host a panel on their own. If you are under 18, you may not participate in or host panels that contain explicit adult topics. Panelists MUST be 18 or over to host an 18+ panel and disclose all relevant details about the panel and how the panel will be run.
ID checks will be carried out.
Panel Submission Process
All panel submissions must be made using the form posted on the Nishikaze website. Submissions sent through any other means will not be considered. Prospective panelists will need to submit an overview of their panel and equipment requests for review by the Programming Director.
Panels are considered by order of submission as well as their content. Nishikaze reserve the exclusive right to approve or deny a panel. Any panel deemed by Nishikaze to contain adult material but were not submitted as 18+ may be cancelled.
An acceptance or rejection e-mail will be sent one week after the panel submission deadline.
All panelists, co-panelists, and assistants must check in at the Nishikaze HQ at least one (1) hour prior to their panel start time. You will receive your badges/wristbands, program guide, and you’ll be able to ask any questions at this time.
Please return to HQ 15 minutes prior to your panel so that a volunteer can take you to your room. The room should be available 15 minutes prior to your scheduled time for you to setup.
We try to avoid scheduling similar panels at the same time, and attempt to accommodate panelists’ preferred time-slots, but we can not offer any guarantees. Please notify us of any concerns as quickly as possible so we can adjust as needed.
All Panels that are 18+ will be scheduled after 5:00 PM. This also means that we have fewer of these slots available. ID’s will be checked at the door.
We will attempt to schedule each panel into an appropriately-sized panel room. No modifications are allowed without prior approval.
If you want to host a panel but have other obligations to schedule around (i.e. volunteering, marketplace table), please include this on the submission form. We will try to avoid scheduling you during those times, but we can not offer any guarantees. Should you decide that the time will not work & that you will no longer be running the panel, please let us know as soon as possible.
If your panel is accepted and is listed on the convention schedule, you will be expected to run the panel. If you are no longer able to run a panel, you MUST notify us at least one week in advance. Failure to do so without reason may result in a ban from running future Nishikaze events. Exceptions will be made for emergencies, but only if you contact us before your panel is scheduled to begin.
There are laptop hook-ups in the panel rooms. We do not provide laptops. If you need them for your panel, please provide your own laptop, test it before the convention and submit any other requests in the appropriate box on the form.
The venue provides the adapter cables for the projector hook ups for Windows-based products. Panelists using Apple-based products must provide their own adapters.
Panelists may request any non-laptop or specialty equipment they need on the Panel Submission Form and we will do our best to acquire them. If it is not requested, it WILL NOT be made available to you at the convention. Equipment will only be available for use after we have processed a request for it and have confirmed an arrangement.
Panelists are expected to provide their own printed materials and other resources.
Panelists will be expected to behave in an appropriate manner. Behaviour deemed inappropriate for panels where legal minors (defined as those under 18 years of age) may attend could result in the termination of a panel in progress and/or the cancellation of a panel group’s scheduled panel(s).
Slander or discussion promoting discrimination of any form is NOT permitted. Panelists may express their personal opinions during their panels, but panelists may not attack the character of others. Discussion of hentai and sexually explicit content is permitted only during panels designated “18+”. The display of hentai or other sexually explicit content is not permitted at any time during any other panels. Panelists must let us know if their panel is intended for adults only.
Panelists may not sell or promote exclusive merchandise or supplies without prior notice and approval by Nishikaze. A fee may be charged.
- Panelists may not offer food and/or drink to attendees while conducting a panel.
- Panelists may not consume alcohol just before or while conducting a panel.
- Panelists may not promote illegal activities such as drug use, under-age drinking, or the violation of international copyright law.
Clean-up is expected. Please be considerate to the next panelist that will be setting up after your panel.
Nishikaze accepts no responsibility for the content of panels hosted by its attendees, nor does Nishikaze extend any form of legal protection to panelists. Panelists are wholly responsible for ensuring the legality and safety of the content presented in their panels.
